How a booking runs
1 · You tell us the shape of the trip
Origin, dates, number of travellers, how many nights and whether you have a hotel. If you are unsure about the length, say so — the honest answer is often one night more or one stop fewer than people expect.
2 · We send a written plan and a price
A day-by-day itinerary with drive times, the vehicle class, the hotel named rather than 'or similar', and an all-in figure with 5% GST shown separately. What is excluded — green tax, entry fees, toy train tickets — is listed, not buried.
3 · An advance confirms it
The advance holds the vehicle and the room; the balance is due before departure. In April, May and the last fortnight of December we need 45 to 60 days' notice to hold anything at all, because that is when Ooty fills.
4 · We file the e-pass
Free, on epass.tnega.org, against the vehicle's registration number using your dates, passenger count and hotel address. You get the QR PDF. If you are driving your own car, we will file it for that instead.
5 · Driver details, 24 hours ahead
Name, photo, mobile number and vehicle registration, on WhatsApp the day before — not at 5 am in an airport car park. If the flight moves, tell us and the pickup moves with it.
6 · After the trip
An invoice with the GST line shown. If something went wrong, the same number answers; we are a small operation in one city, which is the whole point of booking a small operation in one city.
Payment, cancellation and what we do if the hills misbehave
We take UPI, bank transfer and card. An advance confirms; the balance is settled before or at the start of travel, and the only cash you should need on the trip is the green tax at the check-post, parking and entry tickets. Cancellations are handled on the hotel's terms for the room portion, because that money has usually already moved, and on ours for the vehicle — the closer to the date, the less of the vehicle advance can come back, and we tell you the exact figures in writing before you pay anything.
Weather is the interesting case. Between June and September the Coonoor ghat occasionally closes for landslide clearance, and viewpoints spend days inside cloud. We do not cancel trips for rain, but we do re-plan them: Kotagiri ghat instead of Coonoor when the highways advisory is bad, estates and museums instead of viewpoints, and the sightseeing hours you paid for stay yours. If a road closure makes the trip genuinely impossible, we move the dates rather than argue about it.

How quickly will I get a quote?
Usually within 30 minutes between 6 am and 11 pm, and always the same day. The quote is a written itinerary with drive times, a named hotel and an all-in price with 5% GST shown as its own line, not a one-line figure on WhatsApp.
How much advance do you need to confirm a booking?
Enough to hold the vehicle and the room, which varies with the hotel's own terms and is stated in writing before you pay. In April, May and from 20 December to 5 January we need 45 to 60 days' notice, because hotels and the e-pass allocation both fill in that window.
Do you handle the Nilgiris e-pass?
Yes, free, for any vehicle we supply and for your own car if you are self-driving. We file it on epass.tnega.org with your dates, passenger count and accommodation address and send you the QR PDF. Green tax of ₹150 to ₹300 is still paid in cash at the check-post.
When will I know who my driver is?
Twenty-four hours before travel: name, photo, mobile number and vehicle registration on WhatsApp. For early-morning airport pickups that means you have his number the evening before rather than trying to find him at 5:40 am.
Can you meet an early morning flight at Coimbatore airport?
Yes. CJB is about twenty minutes from our yard in Ramanathapuram, so a 5:40 am pickup is a normal request rather than a special one. Send the flight number and we track it, so a delayed landing does not turn into waiting charges.
What if it rains through our whole trip?
We re-plan rather than cancel: the Kotagiri ghat if NH181 is closed for landslide clearance, tea estates and the museum instead of Doddabetta and Dolphin's Nose, and the vehicle hours you paid for stay yours. If a road closure makes the trip impossible we move the dates.
Do you arrange hotels or only vehicles?
Both, and either on its own. About a third of our bookings are vehicles and day plans for guests who have already booked their own room, which we price separately at ₹2,000 to ₹6,500 a day depending on the vehicle class.
